The challenge

Multi-site hospitality and retail businesses face a particular logistical headache when it comes to faulty or end-of-life IT equipment: front-of-house tablets, point-of-sale devices and back-office equipment fail or reach end of life at individual sites scattered across the country, far from any central depot. Arranging individual collections from each location, often for just one or two devices at a time, is slow, expensive, and difficult to track.

For this client, the relationship began with straightforward collections from head office. As the partnership matured, it became clear that the bigger opportunity, and the bigger challenge, was managing the return of faulty IT and tablet devices from over 500 individual restaurant sites in a way that was cost-effective and easy for site-level staff to use.

The solution

Ego Technology worked with the client to introduce a UPS-based returns process specifically for faulty devices. Rather than arranging bespoke collections from each restaurant, site staff are able to simply package and send faulty equipment back through a standardised courier returns process, removing the need for individual collection bookings at every location.

This approach was designed to scale naturally with the size of the estate: it works just as well for a handful of returns a month as it does across the full national footprint, and it requires minimal training or process change for restaurant-level staff. Head office IT collections continue alongside this for larger volumes and bulk equipment refreshes, giving the client a layered solution suited to different needs across the estate.
